Set up groups and rosters

Create a campus group, assign eligible staff and save a roster using shared People records.

This guide covers internal staff groups. Public discovery and member self-service are not available.

Watch setup tutorial — Groups
  1. 1. Open Groups for your campus

Sign in and choose your church. An administrator selects Groups in Explore apps, within your current plan. Open Groups and choose the campus. Staff access to both Groups and People is required for that campus; selecting the app does not grant access.

  2. 2. Create the group

Select New group. Enter a Group name, choose its Campus and select Responsible staff. Add an optional Group capacity and Meeting details. The campus is fixed after the first save. Meeting details are notes; they do not schedule an event or send messages.

  3. 3. Choose leaders and people

Use Add group leader to choose eligible staff. Use Search roster candidates, then Add person to group to choose existing People records. Review each name and use Remove for anyone added by mistake. Keep the roster within the capacity you set.

Leaders keep their existing account permissions. Editing a roster requires People access across every member’s campuses, including anyone you remove. Update shared names and other source details in People.

  4. 4. Save, reopen and maintain the roster

Select Save group. Find it with Search groups and the Group status filter, then open Edit group to confirm the saved details and roster. To close it, choose Closed groups under Group status and save. Choose Active groups and save to reopen it; the roster is retained.

If a save reports that the group changed, copy any draft notes you need, choose Reload groups and discard draft, then reopen the current group before editing again.

  5. 5. Use the saved roster

On a saved group, select Export roster CSV for a spreadsheet-ready roster, or Export roster JSON for structured data. Both retain the shared People IDs and current names.

For several groups, choose your campus, enter a search and choose a Group status filter, then select Search groups. Choose CSV contents and select Export filtered CSV. The download uses all currently permitted groups matching those filters.

Choose Group list for group names, IDs, status and campus, including empty groups. Choose Group memberships for one row per person in each matching group. Choose People contact list for each permitted person once, with the contact details you are authorized to view. Share these files only with authorized staff.

Where Attendance is selected and authorized, use the saved Group to start an attendance session, review the people and save their statuses there. Later roster edits leave saved attendance unchanged.
