Schedule campus events
Save one event or a weekly series, connect authorized source records and download your private schedule.
Calendar is an internal staff schedule. Public calendars, subscriptions and event reminders are not available in this workflow.

1. Set the event time and campus
Sign in and choose your church. An administrator selects Calendar in Explore apps within your plan and grants Calendar staff, administrator or owner access for the campus. Open Calendar and check the existing schedule first. Selecting the app does not grant account access.
Select New calendar event. Enter Event name, choose Campus, and set Event start, Event end and Event time zone. Add the location and description your team needs. Check the local times and time zone before saving; the campus stays fixed after creation.
2. Save one event or a weekly series
Keep Weekly occurrences set to One event, or choose 2 to 12 for a weekly series at the same local time. For a repeated daylight-saving hour, use Repeated hour choice to select the first or second occurrence. A skipped local time must be corrected. Select Save calendar event, then open the saved event by its name to confirm the schedule. Later changes affect one occurrence only.
3. Link the original group or room booking
While creating or editing an event, choose an available Linked group (optional), or paste a saved same-campus reservation address into Facilities reservation link (optional). You need access to the source app and record. Save and reopen the event, then use Open linked group or Open linked reservation to manage the original record.
Calendar shows current source details when you reopen it. Groups owns rosters and meeting details; Facilities owns room bookings and conflicts. Linking, moving or cancelling a Calendar event does not change either source or reserve a room. Unavailable sources show a neutral message instead of private details.
4. Update or cancel an occurrence
Open the event and select Edit calendar event. Update its details, or set Event status to Cancelled. Select Save calendar event for a single event or Save this occurrence for a weekly occurrence. Reopen it to confirm the saved time and status. Other occurrences keep their own schedules; a cancelled event remains in the private schedule and downloads.
5. Review and download the month
Choose your campus view and Calendar month. Switch between List view and Month view to find events; dates use each event’s own time zone. Export this month (CSV) downloads the permitted events overlapping that month, including cancellations and individual series changes. Source ID columns are blank when source access is unavailable. Export this month (JSON) provides structured schedule data. Share downloads only with authorized staff.
If another editor saved first or your access changed, keep any notes you need, select Reload calendar and discard draft, then reopen the current event. After an uncertain save, inspect the saved schedule before trying again. Ask your administrator about unavailable campus or source access.
